Team Accounts

Pro and PremiumLite does not include this menu item.

Give each team member their own login and decide which appointments they see

Open Team in the sidebar:

Give each team member their own login. Revenue, customer list and settings stay hidden from them. What appointments they see is set below.

This replaces the habit of sharing one password with the whole venue. Everyone signs in as themselves, so the Activity log (Chapter 23) can say who did what.

Press “Add team member”. A form opens with three fields:

Field What it does
Name Shown in the panel and in the Activity log.
Works as “Decides which appointments belong to them: exactly the ones for this entry. Those are the only ones they can change.” Pick the therapist, stylist, or space this person is.
Password At least 15 characters, a passphrase of three words such as mango-temple-cloud works well. Give it to them personally, not in a group chat. Logins with a shorter password from before keep working.

If something is missing, the form says what: “Please enter a name.”, “Please choose who they work as.” or “The password needs at least 15 characters.”

Press Save. The panel reports “Saved.” and the new account appears under Accounts: the name, and below it the entry it belongs to. It can sign in immediately at the same address as you.

21.2 What a team member sees, and what they do not

Section titled “21.2 What a team member sees, and what they do not”
They can use They cannot open
Dashboard, Calendar, Bookings Reports (your revenue)
Waitlist Customers (your whole guest list)
Link & QR code Availability, Providers, Services
Notifications for their own device, and their own password (Chapters 20, 21.3) Settings, Design, Texts
Vouchers, if you allow it (21.4) Team, Activity log, Trash
Voucher figures, offer and legal texts

By default they see only their own appointments. Two switches can widen that (21.4). The sidebar simply does not show the other entries, so nothing looks broken. Under the logo a small badge shows their name, or “Team member” if there is none. That tells them why they see less than the owner does.

21.3 Editing, pausing, and removing an account

Section titled “21.3 Editing, pausing, and removing an account”

Each account in the list has these buttons:

Button What happens
Edit Opens the “Edit account” form: change the name, who they work as, or the password. Leave the password field empty to keep the current password.
Deactivate The person is signed out at once, on every device, and gets no more notifications. The account keeps all its details, the name is followed by “(deactivated)”.
Activate Switches a deactivated account back on. The person signs in again, and notifications to their phone resume by themselves.
Delete Removes the account for good. You are asked: “Really delete the account for [name]? Their appointments are kept.” The panel then reports “Account deleted.” The person is signed out at once, and their devices get no more notifications.

Deactivating, deleting and a new password take effect at once, also on a device with Stay logged in (Chapter 3). If the person has the panel open, it shows the sign-in again within 10 seconds. The log (Chapter 23) records this as “Access refused” with the reason. A changed Works as applies from their next click, without signing in again.

Below the introduction, the card What the team sees has two switches. Both take effect at once. Only the Vouchers menu item appears or disappears for a team member when their panel reloads.

“Show everyone all appointments”: every team member sees the whole schedule, including guest names and phone numbers of their colleagues’ appointments. They can still only change, reschedule or cancel their own. A colleague’s appointment is marked “Colleague’s appointment” and can be viewed, not changed. Messages, intake answers, revenue and the customer list stay hidden, and notifications still arrive only for their own appointments. This helps where team members cover for each other at the front desk.

“Show vouchers” appears only where vouchers are switched on, and it starts switched off. When on, the team sees the vouchers with code and balance. They can redeem them, enter vouchers sold at the counter and cancel them. Sales figures and settings stay hidden (Chapter 24.7).
