Booking.com, Agoda & Co.

How bookings from the booking sites come in, what the panel shows about them, and what to do when a site sells a room twice

Hotels and homestays can connect their rooms to Booking.com, Agoda, Trip.com, Airbnb and other booking sites. miraTEQ sets this up for you through a channel manager. After that, two things happen by themselves: every booking, change and cancellation in your panel updates the free rooms and the rates on all sites, and every booking from a site appears in your panel.

A booking from a site looks like any other booking, with the name of the site next to the guest’s name, for example Booking.com. Open it to see:

Line What it shows
Booked via The site and its booking number. Quote this number when you talk to the site.
Email (site), Phone (site) The contact the site passed on. Many sites hide the real address and forward your messages.
Guest’s request What the guest wrote when booking, for example a late arrival.
Payment at the property, or prepaid to the site.
Amount from the site What the site charged for this room. Your statistics use this amount.

The guest gets the confirmation from the site, not from you. miraBOOK sends these guests no emails.

The guest changes or cancels at the site. The change comes into your panel by itself, and the room is free again on all sites.

If two sites sell the last room at almost the same moment, both bookings come in. The second one shows Overbooked with the nights in question, and your booking notification carries a red warning. Settle it with the guest or the site, for example with another room or by having the site cancel.

Close nights for renovation or a holiday closure as described in Chapter 13: the sites see the room as full on those nights. If you untick Bookable online for a room type (Chapter 12), it is full on every site straight away.

Under Settings, the card Booking sites shows when the channel manager last accepted Free rooms and Rates. If something fails, the card says since when and why, and the dashboard shows “Sync with the booking sites is failing” with the button View details. If a problem lasts longer than two hours, miraTEQ is told automatically.

Your room rates go to the sites as they are set in miraBOOK. miraTEQ sets them and the room types for you; a change reaches all sites right after it is saved.

Rarely, miraBOOK cannot accept a booking from a site, for example when the site sends a room type that is not mapped yet. The dashboard and the card Booking sites then show “A booking from a booking site did not arrive” with the time, the site and the booking number, for example “25.10., 05:14: Agoda, No. AG-4711”. This booking is not in your calendar, and the room still counts as free here and on the other sites. Check the site’s extranet and enter the guest by hand under New Booking (Chapter 7). miraTEQ is told automatically and fixes the cause. The notice stays for 14 days.
