Calendar
Day, week and month at a glance; open, confirm and drag appointments to a new time
5.1 Day, week and month
Section titled “5.1 Day, week and month”Open Calendar in the sidebar. At the top left are the arrows ← and →, with Today between them and a date field next to them. On the right you choose the view, Day, Week or Month, next to it sits 24 h, and under Provider: whose appointments you see. The field carries the name your business uses for its people and, if there is more than one, offers “All …” at the top, for example “All Therapists”. On a phone the names sit side by side as tabs.
Next to it are “Close a day” (Chapter 13) and, on a computer, New Booking (Chapter 7).
| View | What it shows |
|---|---|
| Day | Your working hours, one row per hour, from the first opening to the last closing time. With “All …” each person has their own column. |
| Week | Monday to Sunday side by side, over the working hours of the whole week. Tap the heading of a day to open it in the day view. |
| Month | One box per day with up to two appointments and, below them, something like “+3 more”. A dot shows that something is closed that day. Tap a day to open it in the day view. |
If an appointment lies before you start or after you close, the view grows until it fits. A blocked time or an external appointment that only partly reaches into your working hours shows that part and names its full time. On a day off the calendar shows the usual hours of your week. 24 h shows the whole day from 00:00 to 24:00 in day and week, a second tap switches back. The panel remembers your choice on this device.
If the view does not fit on the screen, day and week scroll inside their own frame, while the header row and the hour axis stay put. Today during working hours the frame opens at one hour before now, otherwise at the top. With 24 h it jumps to your working hours, half an hour before you start or before an earlier appointment, and to 07:30 without working hours set. The arrows move by a day, a week or a month and keep the time in view. Today and a change of view jump back to your working hours. A red line marks the current time today.
Everything outside the opening hours (Chapter 13) has a grey background: with “All …” per person according to their own hours, in the week per day wherever nobody works. A day off is grey all over. Tapping an empty spot opens New Booking with the day, time and person already filled in, in the grey area too, for example during a lunch break. For an appointment after closing time, switch on 24 h first.
Below the calendar you see what the day or month holds, for example “Bookings 3 · Blocked 1”, or “No appointments on this day.”
5.2 Legend
Section titled “5.2 Legend”| Colour | Meaning |
|---|---|
| Booking | An appointment in the colour of your panel. A booking that is not confirmed yet appears hollow, with only an outline. If the provider has a colour (Chapter 12) and its switch is on (16.7), the appointment carries a stripe in that colour on the left. |
| Blocked | A closed time (Chapter 13). |
| External (Google/iCloud/Outlook) | An appointment from your connected calendar (Chapter 16.3), with yellow stripes and 🗓. It cannot be opened here and blocks the time for guests. Pro and Premium |
On a phone, the legend and the hint on moving appointments sit below the calendar.
5.3 Opening an appointment
Section titled “5.3 Opening an appointment”Tapping a booking opens a window with the guest’s name, the booking number, for example “Booking #47”, date, time, email address and status, for example “Confirmed”. Below that:
- Confirm, while the booking is pending. The guest gets the same email as when you confirm in the list (Chapter 6.2).
- Cancel asks “Cancel this booking?” and then cancels the booking, with an email to the guest.
- Close.
Attended, No-show and Delete are not here; they are in the bookings list (Chapter 6.2). For a colleague’s appointment only Close remains.
Tapping a closed time shows it as Closed, with your reason if you entered one. If it belongs to a period of several days, choose “Reopen this day only” or “Remove the whole closure”. A single closed time is lifted with “Remove block”, after the question “Remove this block?”. Only the owner can do this.
5.4 Moving an appointment
Section titled “5.4 Moving an appointment”Above the calendar it says how. With a mouse: “To move an appointment, drag it to another time with the mouse.” On a phone or tablet: “To move an appointment, press and hold until it lifts, then drag it.”
The appointment snaps to quarter-hour steps and stays on the same day and with the same person. If it then overlaps another appointment of that person, the panel refuses and it jumps back. Drag it to the edge of the frame and the calendar keeps scrolling.
A moved appointment takes its entry in your connected calendar along (Chapter 16.3). The guest gets no message. Tell them yourself, or ask them to move it through “Manage your booking” (Chapter 2.5).
